سياسة الاسترداد والإلغاء

تاريخ السريان: 21 September 2026

1.Purpose

This Refund and Cancellation Policy set out the terms applicable to cancellations, refunds, substitutions and changes relating to delegate registrations, sponsorship packages, exhibition arrangements and other paid services associated with Muscat Arbitration & Mediation Days 2026 (the "Event").

The Event is organized by the Oman Commercial Arbitration Centre ("OCAC" or the "Organizer"). By completing a registration, sponsorship booking or other paid transaction for the Event, the customer acknowledges and agrees to the version of this Policy presented when the booking is confirmed, subject always to applicable law.

2.Definitions & Time Calculation

TermMeaning
Business DayA day other than Friday, Saturday or an official public holiday in the Sultanate of Oman
Event Start DateThe published date and time on which the Event is scheduled to begin
SponsorA person or organization purchasing sponsorship, exhibition or another commercial package for the Event
Written requestA request sent to the email address (info@omanarbitration.om) and containing enough information to identify the booking

All periods under this Policy are calculated using the local date and time in Muscat, Sultanate of Oman. A cancellation is effective when the Organizer receives the written request.

3.Registration and Event Fees

All registration fees, sponsorship fees and other Event-related charges must be paid in accordance with the payment terms communicated by the Organizer. A registration, sponsorship arrangement or booking is confirmed when the applicable payment has been successfully received, unless otherwise agreed by the Organizer in writing.

The customer is responsible for checking the booking confirmation and promptly notifying the Organizer of any error. Eligibility for a refund is based on the fee actually paid, excluding any complimentary element or discount that was not paid in money.

4.Sponsorship and Exhibition Cancellations

A signed sponsorship, exhibition or other commercial agreement takes precedence over this Policy to the extent of any inconsistency.

If the applicable agreement does not contain cancellation provisions, the following terms apply:

Written cancellation receivedRefund where no separate agreement applies
More than 60 calendar days before the EventAmounts paid, less documented and non-recoverable costs reasonably incurred for the Sponsor's package before cancellation
From 30 to 60 calendar days before the Event50% of amounts paid, less documented and non-recoverable costs reasonably incurred for the Sponsor's package before cancellation
Less than 30 calendar days before the EventNo refund, except where required by applicable law or approved by the Organizer in writing

When calculating a sponsorship or exhibition refund, the Organizer may take account of benefits already delivered, including approved publicity, branding, advertising, production, space allocation and other work specifically undertaken for the Sponsor.

The Organizer will not deduct the same cost or delivered benefit more than once and will provide a summary of material deductions upon request.

5.Transfer of Delegate Registration

A Delegate may request to transfer their registration to another individual from the same organization. The written request should be received at least 5 Business Days before the Event and must state the replacement Delegate's full name, job title, organization, email address and contact number. A transfer is subject to verification and the Organizer's written approval, which will not be unreasonably withheld.

The Organizer may refuse a transfer for security, legal, compliance, capacity, eligibility or operational reasons. A transfer does not change the booking price or create a right to a refund.

6.Cancellation by the Organizer

If the Organizer cancels the Event and does not reschedule it, the Organizer will refund Event fees actually paid for services that will not be provided. The Organizer may offer a credit or alternative arrangement, but it will be applied only if the affected customer agrees.

For sponsorship, exhibition or commercial packages, the refund will take account of any separately agreed cancellation terms and any material benefits already delivered before cancellation.

The Organizer will notify affected customers as soon as reasonably practicable and explain the applicable arrangements.

7.Postponement, Rescheduling and Event Changes

Postponement or rescheduling

If the Event is postponed or rescheduled, registrations and commercial bookings will transfer automatically to the new date. A Sponsor that cannot participate on the new date must notify the Organizer within 10 Business Days after the Organizer issues notice of the new date. The parties will apply the relevant sponsorship agreement or, if it is silent, agree in good faith an appropriate transfer, credit or refund after accounting for benefits already delivered and documented, non-recoverable package-specific costs. If no request is received within that period, the arrangement will remain valid for the rescheduled Event.

Changes to the Event

The Organizer may make reasonable changes to speakers, sessions, program order, facilities or other operational arrangements without creating a right to a refund. A change is material where it changes the Event date, moves the Event outside Muscat, changes an in-person Event entirely to virtual delivery, or substantially removes a principal paid benefit of a sponsorship package.

Where a material change prevents the sponsor from receiving substantially the service purchased, the Organizer will communicate the available transfer, credit, proportionate refund or other remedy, taking account of the nature of the booking, benefits already delivered and applicable law.

8.Force Majeure

The Organizer will not be liable for delay, failure to hold the Event as planned or necessary changes caused by circumstances beyond its reasonable control. These may include, but not limited to, natural disasters, extreme weather, epidemic or pandemic events, governmental restrictions, public emergencies, war, civil unrest, strikes, transportation disruption, venue unavailability, utility or telecommunications failure, security threats or similar events.

If a force majeure event causes postponement or rescheduling will apply as identified above. If it causes permanent cancellation, except that sponsorship and commercial refunds may be reduced by benefits already delivered and documented, non-recoverable package-specific costs, subject to the applicable agreement and mandatory law.

Except where required by applicable law, the Organizer is not responsible for travel, visa, accommodation, subsistence, loss of business or other costs incurred by a Delegate, Sponsor or third party in connection with the Event. Participants are encouraged to use flexible arrangements and suitable insurance where appropriate.

9.Refund Processing

After receiving all information reasonably required to assess a request, the Organizer will normally notify the requester of its decision within 10 Business Days. An approved refund will normally be initiated within 15 Business Days after approval. Additional time taken by a bank, card issuer or payment service provider is outside the Organizer's control.

  • A card-payment refund will normally be returned through the original payment method
  • A bank-transfer refund will normally be paid to an account held by, or verified as belonging to, the original payer
  • The Organizer may require evidence of identity, authority or account ownership before processing a refund
  • Customers must not send full payment-card numbers, card security codes, passwords or other authentication credentials by email

10.Deductions and Non-refundable Charges

For Delegate registrations, a refund may be reduced only by a payment-processing or administrative charge expressly disclosed as non-refundable before purchase, or by another deduction permitted by applicable law.

For sponsorship, exhibition and other negotiated commercial packages, deductions may include documented, reasonable and non-recoverable package-specific costs and the value of benefits already delivered, where permitted by the applicable agreement and law. Taxes, bank charges and statutory or third-party fees will be treated according to applicable law, payment-provider terms and the relevant agreement.

12.Governing Law and Mandatory Rights

This Policy is governed by the laws of the Sultanate of Oman. The parties should first seek to resolve any dispute directly and in good faith. Nothing in this Policy excludes or limits any right, remedy, obligation or liability that cannot lawfully be excluded or limited under applicable law.

13.Policy Publication & Changes

The current version of this Policy will be published on the Event website. The version in effect when a booking is confirmed will continue to govern that booking. A later amendment will not materially reduce rights attached to a confirmed booking unless the amendment is required by applicable law or expressly agreed with the affected customer. The Organizer will communicate any material operational change affecting a confirmed booking as soon as reasonably practicable. Customers should retain their booking confirmation and the policy version or link supplied at purchase.
